Work Request Notification

Overview

There are various ways in which users can be notified of work requests that are submitted. We will outline these steps in this procedure.

Option 1: I want to get all work requests emailed to me

1. Click Settings, CMMS Settings, Work Requests, and select Requested from the Default Work Request Status dropdown menu. Click Save.

 

2. Next, set up a users email notifications. Click Settings, Users, and select a user.

 

3. Select Messaging

 

4. Select Email All Messages so that the user receives notifications to their email inbox. Select the Pending checkbox to get notified about new work requests. Select All Assets to receive notifications for all assets. The "Also, notify me of the work orders without an asset" option has been checked off to ensure that the user is notified of work requests that have no assigned assets.

 

5. Click Save. Notifications for work request will now be sent to the users email inbox for all assets.

 

Option 2: I want to get all work requests automatically routed to the right people:

1. Set your default work request status to Assigned. Do this by selecting Settings, CMMS Settings, Work Requests, and select Assigned from the Default Work Request Status dropdown menu. Click Save.

 

2. Next, add the designated personnel to each asset record. This assigns the user to the asset. Select the Personnel tab, click New, assign either the required Users, or User Groups, and click Save.

 

3. Finally, set-up your user's email settings. Open the user record under Settings, Users, and select the user. 

 

4. Click Messaging

 

5. Select Email All Messages so that the user receives notifications to their email inbox. Select the Active checkbox to get notified about new work requests. Select All Assets to receive notifications for all assets. The "Also, notify me of the work orders without an asset" option has been checked off to ensure that the user is notified of work requests that have no assigned assets.

6. Click Save.

7. When you have completed this for all assets and users, work requests will automatically get routed to the assigned personnel on each asset.

Note:- Work orders are simply routed to the right people. They are not assigned automatically. To assign users to the work order, you must assign them manually to a task in the work order.
